1. Introduction

Rolodai ("we", "our", or "the app") is a personal networking CRM that helps you manage your professional contacts and tasks. This policy explains how we collect, use, and protect your information.

2. Information We Collect

When you use Rolodai, we may collect:

• Account information: Your email address and authentication credentials when you create an account.
• Contact data: Names, companies, notes, and other details you enter about your professional contacts.
• Task data: Tasks and reminders you create within the app.
• Voice input: If you use voice features, your audio recording is sent to our speech-to-text provider (Groq) to transcribe it into text. The audio is used only to produce that transcript and is not retained by us afterward; on some browsers, transcription happens on your device instead. The resulting text is then processed by our AI provider (Anthropic) to extract contacts, tasks, and details.
• Usage data: Anonymous usage analytics (via PostHog) to understand how the app is used, and error monitoring (via Sentry) to identify and fix bugs. Neither service uses tracking cookies or advertising cookies.

3. How We Use Your Information

We use your information to:

• Provide and maintain the Rolodai service
• Sync your data across devices via our cloud backend
• Enrich contact profiles using third-party data providers (when you request it)
• Generate AI-powered insights about your contacts and topics (when you request it)

4. Third-Party Service Providers

We rely on a small number of trusted service providers to operate Rolodai. We share only the data necessary for each provider to perform its function, and we never sell your data. These providers are:

• Anthropic (Claude): AI processing for parsing debriefs, contact research, topic insights, and business-card scanning. Contact text or card images you submit are sent to Anthropic to generate results.
• Groq: Speech-to-text transcription of voice debriefs. Audio is processed to produce a transcript and is not retained afterward.
• Apollo.io: Optional contact data enrichment (email, phone, company), used only when you trigger an enrichment action.
• Stripe: Payment processing for subscriptions. Stripe handles your payment details directly — we never see or store your full card information.
• Supabase: Cloud database and authentication (hosted on AWS), where your account and contact data are stored.
• Resend: Delivery of transactional emails such as account and trial notifications.
• Microsoft & Google: If you choose to connect a Microsoft or Google account through an optional integration, we exchange calendar, contact, and task data with that service to provide sync. These integrations are off unless you connect them.

AI- and enrichment-related data (Anthropic, Groq, Apollo) is sent only when you take an action that requires it, such as recording a debrief, running research, or enriching a contact.

5. Data Storage and Retention

Your data is stored securely using Supabase (hosted on AWS) with row-level security policies ensuring only you can access your data. All data is transmitted over HTTPS. If you use Rolodai without an account, data is stored locally in your browser.

We retain your account and contact data for as long as your account is active. When you delete your account, all of your associated data is permanently removed from our systems. You can export or delete your data at any time from within the app.

6. Data Sharing

We do not sell, trade, or rent your personal information. We do not share your data with third parties except as described in this policy (AI services and data enrichment, only when you initiate those actions).

7. Your Privacy Rights

No matter where you live, you can:

• Export all your data at any time using the built-in export feature
• Delete your contacts and tasks at any time
• Delete your account and all associated data from Settings, or by contacting us

If you are in the European Economic Area or the United Kingdom, you have rights under the GDPR, including the rights to access, correct, erase, restrict, port, and object to the processing of your personal data. If you are a California resident, you have rights under the CCPA/CPRA, including the rights to know, delete, and correct your personal information and to not be discriminated against for exercising them. 8. Cookies

Rolodai uses only essential cookies for authentication. We use PostHog for anonymous usage analytics (stored in localStorage, not cookies) and Sentry for error monitoring. Neither service uses advertising cookies. We do not use tracking cookies for advertising purposes.

We may update this policy from time to time. Changes will be reflected on this page with an updated date.
